Getting Started

The ideal time to engage SmoothHospitalMove is during the hospital design and planning phase. This occurs generally 18-24 months before the scheduled move.

If the project is underway, SmoothHospitalMove can support you by assessing your state of readiness and identifying risks and gaps within your existing plan. We then work to develop a professionally formulated, high level Action Plan designed to help you manage a safe and successful hospital transition.

Transition Planning Service

The SmoothHospitalMove Transition Planning Service involves 1-2 consultants working with you and your stakeholders to identify and implement crucial transition strategies.

The SmoothHospitalMove consultants help you think through all aspects of the commissioning and transition for your hospital’s clinical, support, research and other services. For example, they will help you:

  • Identify groups to carry out commissioning, transition and move sequencing and timetable
  • Plan and schedule new site operations
  • Research and prepare for change impacts on patients, staff and services
  • Analyse and plan staff, patient and stakeholder training and education needs.

Your consultant will help you use this knowledge to develop a tailor-made Transition Strategy that will meet the objectives of all hospital stakeholders.

Assessing the Readiness

The SmoothHospitalMove consultants work with hospital executives to develop the assessment of readiness. Achieving a state of readiness means being in a position to execute a smooth and effective transfer of the operation or commencing a new area from the project team to hospital operations, and that all staff/stakeholders are capable of effective and efficient operations from day one. SmoothHospitalMove consultations will carry out the assessment.

Managing the Transition

During the transition, SmoothHospitalMove consultants work with hospital staff to:

  • Establish the transition Governance Structure and develop the required reports
  • Identify the risks, develop a risk management plan, ensure ongoing monitoring and risk identification
  • Develop and implement a Communications Strategy for all stakeholders
  • Develop the scenario to test the functionality of the building and the new workflows
  • Manage the people: manage and support change, ensure staff readiness for change, manage leave, rosters, and staffing
  • Educate key staff involved in the move, train and orient staff to the new facility
  • Manage each phase of the transition
  • Conduct a final, post-move review.

Every transition management scenario is unique and will flow from the assessment, planning, decision-making, monitoring, responses and reviews conducted throughout.
